Export your organization's data as CSV files at any time

Data Export

PawPlacer lets you export your complete dataset at any time. Your data is yours; you can download it as CSV files for backup, migration, reporting, or any other purpose.

Accessing Data Export

  1. Navigate to Settings from the sidebar
  2. Click Exports

The export page shows a card for each exportable record type along with the total number of records available.

What You Can Export

FostersName, contact info, address, status, capacity, notes, and all custom fields

Each export includes every record in your account for that type; there's no filtering step. The file contains all standard fields plus any custom fields you've added through your application forms.

How to Export

  1. Go to Settings > Exports
  2. Click the Export Pets, Export Adopters, Export Fosters, or Export Volunteers button on the corresponding card
  3. The CSV file downloads to your browser's default downloads folder
  4. A success notification confirms the export

Files are named with a timestamp for easy identification:

  • pets-pawplacer-2026-04-14.csv
  • adopters-pawplacer-2026-04-14.csv
  • fosters-pawplacer-2026-04-14.csv
  • volunteers-pawplacer-2026-04-14.csv

Export Format

All exports use CSV (comma-separated values), which can be opened in Excel, Google Sheets, Numbers, or any spreadsheet application.

The export respects your account's locale settings:

  • Dates are formatted according to your configured date format
  • Currency values use your configured currency
  • Times reflect your configured timezone

What's in the Pet Export

The pet export is the most detailed. In addition to standard profile fields (name, species, breed, color, age, sex, size, weight, coat length, status, description), it includes:

  • Adoption details: adopted by, adoption date
  • Microchip ID
  • Spay/neuter status
  • Temperaments and compatibility: good with, not good with
  • Special needs
  • Image URLs
  • Intake and outcome dates
  • Vaccination history: formatted as a combined record of all vaccinations with dates and costs
  • Medical history: exams, diagnoses, and treatments with dates and costs
  • Procedure history: surgical and medical procedures with dates and costs
  • Custom fields: any fields you've added to your pet form, labeled with their configured names

Custom Fields in Exports

Any custom fields you've added through Settings > Application Forms automatically appear as columns in the export. Fields are labeled based on their configured label or API key. If two fields share the same label, they're automatically numbered to stay distinct.

Fields that reference other entities (like a linked pet or veterinarian) are resolved to their readable names instead of showing raw IDs.

Permissions

Data export is available to team members with Admin access. Non-admin users can see the export page but the export buttons will show "Coming Soon" and cannot be clicked.

Tips

  • Export regularly if you want to maintain backups outside of PawPlacer
  • Open CSV files in Google Sheets or Excel for sorting, filtering, and analysis
  • Pet exports include medical history as combined text; for detailed medical reporting, use the Reports feature instead
