Keeping track of pets' medical information is crucial for providing proper care. PawPlacer offers a comprehensive system for recording and tracking all aspects of a pet's health, from routine vaccinations to complex medical procedures.
Accessing Medical Records
- Navigate to a pet's profile page
- Scroll down to the Medical Records section
- Here you'll find tabs for different types of medical events:
- Exams
- Vaccinations
- Procedures
Adding Medical Records
Adding a New Medical Record
- Click the Add New button in the Medical Records section
- A dialog will appear with three tabs:
- Exams: For veterinary check-ups
- Vaccinations: For immunization records
- Procedures: For medical procedures
- Select the appropriate tab and fill out the form
- To schedule a future event, simply select a future date
- Click Save to add the record
- Future events will be marked as "Upcoming" until the date passes
Setting up Recurring Medical Events
For medications or procedures that need to happen regularly:
- When adding or scheduling any medical record, find the Recurring field
- Select the frequency (Daily, Weekly, Bi-Weekly, Monthly, Quarterly, Semi-Annually, Yearly)
- Set an end date if applicable
- Save the record
- The system will automatically create future instances of this event
Types of Medical Records
Medical Exams
Record veterinary check-ups and examinations, including:
- Date of exam
- Veterinarian name
- Reason for visit
- Diagnosis
- Medications prescribed
- Cost
- Notes
- Follow-up date
Vaccinations
Track all vaccinations, including:
- Vaccine name
- Date administered
- Vaccinated by
- Dose number
- Manufacturer information
- Lot number and expiration date
- Administration route and site
- Proof of vaccination
- Follow-up date for boosters
Procedures
Document medical procedures, including:
- Procedure type
- Date performed
- Veterinarian name
- Medications administered
- Medications prescribed
- Duration
- Complications
- Recovery instructions
- Cost
- Follow-up date
Importing Medical Invoices
For clinics that provide digital invoices, you can import them directly:
- Click the Add New button in the Medical Records section
- Select "Import Invoice"
- Fill out the invoice details (number, date, veterinarian, payment method)
- Add line items for each service provided
- Click Import to create the appropriate medical records automatically
Managing Existing Records
Viewing Records
Each medical record appears as a card showing basic information:
- Date
- Type of record
- Key details
- Assigned staff member
Editing Records
- Click on any medical record card
- Make the necessary changes in the form that appears
- Click Save to update the record
Deleting Records
- Click on the medical record you want to delete
- Click the Delete button at the bottom of the edit form
- Confirm the deletion when prompted
Printing Medical Records
To print a pet's complete medical history:
- Go to the pet's profile
- Click the three dots menu (⋯) in the top right
- Select Print
- The system will generate a printable document with all medical information
Assigning Staff to Medical Events
You can assign team members to be responsible for specific medical events:
- When creating or editing a medical record, find the Assignee field
- Select a staff member from the dropdown
- Save the record
- The assigned person will see this task on their dashboard
Medical Record Notifications
The system provides visual indicators for:
- Upcoming scheduled medical events
- Vaccinations due soon
- Follow-up appointments
- Medications that need to be administered
These appear with special badges and indicators on the medical record cards to help you track important dates.
