Accessing Pet Tasks
There are two ways to view and manage tasks related to pets:
From a Pet's Profile
- Go to the pet's profile page
- Scroll to the Tasks section (usually located on the right side)
- View all tasks assigned to this specific pet
From the Task Boards
- Navigate to the Boards section from the main menu
- Select the appropriate task board
- View tasks organized by status (To Do, In Progress, Done, etc.)
- Filter tasks to see those assigned to specific pets
Creating New Tasks
Adding a Task from a Pet's Profile
- Go to the pet's profile
- In the Tasks section, click the Add Task button
- Fill out the task details:
- Task name
- Description
- Due date and time
- Assignee (staff member responsible)
- Board to add the task to
- Click Save to create the task
Adding a Task from Task Boards
- Go to the Boards section
- Select the appropriate board
- Click Add Task (or the + button on a specific column)
- Fill out the task details
- Under "Pets," select the relevant pet(s) this task applies to
- Click Save to create the task
Task Details
When creating or editing a task, you can specify:
- Task Name: Brief description of what needs to be done
- Description: Detailed instructions or information
- Due Date: When the task should be completed
- Priority: Importance level (Low, Medium, High)
- Assignee: Staff member responsible for the task
- Related Pets: Which pets this task involves
- Board: Which task board this belongs to
- Column: The status column (To Do, In Progress, etc.)
- Labels: Categories or tags for better organization
Managing Existing Tasks
Viewing Task Details
- Click on any task card to open its details
- View complete information about the task
- See who created it and when
- Check the task history and comments
Editing Tasks
- Open the task details
- Click Edit or modify fields directly
- Make your changes
- Click Save to update the task
Completing Tasks
- Click on the task
- Change its status to "Done" or drag it to the Done column
- Add any completion notes if needed
- Save the changes
Deleting Tasks
- Open the task details
- Click the Delete button
- Confirm the deletion when prompted
Task Assignments
Assigning Tasks to Staff
- When creating or editing a task, find the Assignee field
- Select a staff member from the dropdown
- Save the task
- The assigned person will see this task on their dashboard
Self-Assigning Tasks
Staff members can take responsibility for unassigned tasks:
- Open an unassigned task
- Click the "Assign to me" option
- Save the task
Recurring Tasks
For regular care tasks that need to happen on a schedule:
- When creating a task, find the Recurring option
- Set the frequency (Daily, Weekly, Monthly, etc.)
- Specify an end date if applicable
- Save the task
- The system will automatically create future instances
Task Notifications
The system provides notifications for:
- Tasks assigned to you
- Upcoming deadlines
- Overdue tasks
- Task status changes
- Comments on tasks you're involved with
These appear in the notification center and can be set to send email reminders.
Pet-Specific Task Types
Common pet care tasks include:
- Medical: Medication administration, follow-up visits
- Training: Behavior exercises, socialization sessions
- Administrative: Document updates, photo sessions
- Care: Grooming, exercise, dietary needs
- Adoption Process: Meet-and-greets, home visits
Task Views and Filtering
Filtering Tasks
- On the task board, use the filter button
- Filter by:
- Assignee
- Pet
- Due date
- Priority
- Labels
Different Views
Toggle between different views:
- Board View: Kanban-style columns by status
- List View: Chronological list of tasks
- Calendar View: Tasks displayed by due date
Tasks and Archived Pets
Important limitations to note:
- You cannot add new tasks to archived pets
- Existing tasks for archived pets remain in the system
- Unarchiving a pet restores the ability to add tasks
Task Reporting
Generate reports on task completion:
- Go to the Reports section
- Select "Task Reports"
- Set the parameters (date range, assignees, pet types, etc.)
- Generate the report to track efficiency and workload
