Managing Clinics

How to add, edit, and manage veterinary clinics in PawPlacer's Medical Suite

The Clinics tab in PawPlacer's Medical Suite allows you to maintain comprehensive records of veterinary clinics and hospitals. This clinic-first approach helps you organize veterinarians by their associated clinics and track clinic-level information.

Viewing Clinics

When you first access the Clinics tab, you'll see:

  1. Statistics Dashboard: At the top of the page, view aggregate statistics showing:
  • Total pets treated across all clinics
  • Total services provided
  • Total revenue generated
  • Average cost per service
  • Service breakdown by type (procedures, vaccinations, exams)
  1. Search Bar: Filter clinics by name, email, or phone number

  2. Clinic List: Below the search bar, you'll see either:

  • A data table (on desktop) with columns for clinic name, address, phone, email, number of veterinarians, and current status
  • Cards (on mobile) displaying key information for each clinic
  • Pagination controls for navigating through multiple clinics

Adding a New Clinic

  1. Click the "Add Clinic" button at the top right of the screen
  2. Fill out the information in the form that appears:

Basic Information

  • Clinic Name (required): Enter the full clinic or hospital name
  • Address: Enter the complete street address
  • Phone: Enter the main contact number
  • Email: Enter the general contact email
  • Website: Add the clinic's website URL
  • Description: Add notes about the clinic, specialties, or other relevant information

Operating Hours

For each day of the week (Monday through Sunday):

  • Set Opening Time
  • Set Closing Time
  • Days without hours entered will show as "Closed"

Editing a Clinic

  1. Click on any clinic in the list
  2. On the clinic profile page, click "Edit"
  3. Modify the information in the form
  4. Click "Save" to update the record

Viewing Clinic Details

Clicking on a clinic in the list takes you to the clinic profile page, which displays:

Overview Section

  • Complete contact information (address, phone, email, website)
  • Description of the clinic
  • Current operating status (Open/Closed) based on configured hours

Statistics Section

  • Total pets treated at this clinic
  • Total services provided
  • Total revenue generated
  • Average service cost
  • Breakdown by service type with visual charts

Operating Hours

  • Full weekly schedule with the current day highlighted
  • Visual indicators for open and closed days

Associated Veterinarians

  • List of all veterinarians working at this clinic
  • Each veterinarian card shows:
  • Name and specialties
  • Service statistics (total pets treated, services provided)
  • Revenue information
  • Quick link to view the veterinarian's full profile

Archiving a Clinic

Instead of permanently deleting clinics, you can archive them to maintain historical records:

  1. Open the clinic's profile page
  2. Click "Archive" button in the top right
  3. Confirm your choice when prompted

To unarchive a clinic:

  1. Navigate to the archived clinic's profile (via direct link or search)
  2. Click "Unarchive" button
  3. The clinic will be restored to active status

Archived clinics are hidden from the main list but their data remains preserved for historical reporting and statistics.

Current Status Indicator

Each clinic entry displays a status badge:

  • Open: The clinic is currently open based on the hours you've entered
  • Closed: The clinic is currently closed
  • If no hours are configured, the status will show as "Closed"

Mobile Features

On mobile devices:

  • Clinics display as cards with essential information
  • Tap any clinic card to view its full profile
  • All editing functions are available through the mobile interface

Veterinarian Association

The clinic-first model means:

  • Each veterinarian must be associated with a clinic
  • When adding a new veterinarian, you'll select their clinic from a dropdown
  • Moving a veterinarian between clinics is as simple as editing their profile
  • Clinic statistics aggregate data from all associated veterinarians

Best Practices for Clinic Management

  • Keep clinic hours updated to always know which facilities are available
  • Use the description field to note emergency services, specialties, or parking information
  • Regularly review the associated veterinarians to ensure accurate clinic assignments
  • Archive rather than delete clinics to maintain complete medical histories
  • Add website URLs to quickly access online appointment booking or resources

Integration with Medical Records

When you create medical records (exams, procedures, vaccinations):

  • The system uses the veterinarian's clinic association
  • This helps track which clinics your pets visit most frequently
  • Clinic information appears on medical record summaries for easy reference
  • All medical record statistics automatically update the clinic's aggregate statistics
  • Service costs are tracked and contribute to the clinic's revenue metrics
