    Meet and Greets

    Schedule and manage meet-and-greet sessions between adopters and pets

    What Are Meet and Greets?

    Meet and greets are scheduled sessions where adopters can meet and interact with pets they're interested in. PawPlacer lets you schedule these sessions, track their outcomes, and keep internal notes, all from the adopter's profile.

    Accessing Meet and Greets

    1. Navigate to the adopter's profile
    2. Click the Meet & Greets tab

    This tab shows all scheduled and past meet-and-greet sessions for the adopter, along with any internal notes.

    Scheduling a Meet and Greet

    From the Meet & Greets tab:

    1. Click the button to create a new meet and greet
    2. Fill in the details:
      • Title: A name for the session (e.g., "Meet with Bella")
      • Description: Additional context or instructions
      • Location: Where the meeting will take place
      • Meeting Type: Choose between In Person or Virtual
      • Meeting Link: For virtual meetings, add a video call link
      • Scheduled Date and Time: When the meeting is planned
      • Duration: How long the session is expected to last
      • Pet: Which pet the adopter will be meeting
      • Public Notes: Notes visible to the adopter (if sharing)
      • Internal Notes: Staff-only notes not visible to the adopter
    3. Save the session

    Meet and Greet Statuses

    Each session has a status that you can update as the process unfolds:

    • Scheduled: The session is planned and upcoming
    • Completed: The session took place
    • Cancelled: The session was cancelled
    • No Show: The adopter did not attend

    Managing Sessions

    From the Meet & Greets tab, you can:

    • Edit any session to update its details, notes, or status
    • Delete a session to remove it from the record
    • Add internal notes that are visible only to staff; useful for recording observations about the adopter's interaction with the pet

    Internal Notes

    The internal notes feature on meet and greets lets staff record observations that shouldn't be shared with the adopter. This is useful for noting things like:

    • How the adopter interacted with the pet
    • Any concerns observed during the visit
    • Follow-up actions needed
    • Team member observations

    These notes are visible only to staff with the Adoption Counselor role.
